Activity cancellation policy
IMPORTANT: This policy is designed to support proper planning and organization of our activities. By reserving a place, you accept these terms and conditions.
I. Cancellation by Camino Medio Soto Zen Community (CSZCM)
CSZCM reserves the right to cancel or change the activity date if minimum attendance is not reached or if circumstances beyond its control occur, including unforeseen events or force majeure. Although such situations are unlikely, participants will be informed as soon as possible if they occur. In case of cancellation, full registration fees will be refunded, or participants may choose to attend on a newly scheduled date. CSZCM will not assume responsibility for additional expenses incurred by participants in relation to the activity.
II. Cancellation by a participant
Registration cancellation must be requested by the registered person via email to: info.caminomedio@gmail.com. Once the reservation transfer (at least the reservation amount) has been made and confirmed, the following refund policy applies:
- Cancellation more than 30 calendar days in advance: 75% of the reservation amount will be refunded, plus 100% of any remaining amount paid toward full registration.
- Cancellation between 15 and 30 calendar days in advance: 25% of the reservation amount will be refunded, plus 100% of any remaining amount paid toward full registration.
- Cancellation less than 15 calendar days in advance: no refund will be issued, except in duly justified force-majeure cases (such as death of an immediate family member or hospitalization). In those cases, 50% of the reservation amount will be refunded, plus 100% of any remaining amount paid toward full registration.
In all cases above (1, 2, 3), participants may choose not to request the corresponding refund and receive instead a credit voucher for the full amount paid, to be used for a future retreat or activity.
Cancellations received after the activity date are not eligible for refund due to cancellation or non-attendance. No reimbursement is made for non-attendance.
III. Registration changes
If a participant cannot attend and wishes to transfer their place to another person, this must be communicated by email at least 7 days in advance. The new participant must meet the registration requirements.
This policy seeks to balance activity organization with understanding of participants’ personal circumstances. Thank you for your understanding and cooperation.
